Job Summary:
The Executive Assistant will provide high-level administrative support to the CEO. This role is responsible for managing the CEO's schedule, coordinating meetings and communications, preparing reports and presentations, and handling sensitive information with discretion.
Essential Job Requirements:
A minimum of 3-5 years of experience providing high-level administrative support to senior executives, within a fast-paced environment is preferred. An associate's degree in business administration, communications, or a related field is preferred; equivalent relevant experience may be considered in lieu of a degree. Must demonstrate exceptional organizational and time-management skills, with the ability to manage multiple priorities and maintain confidentiality. Strong written and verbal communication skills are essential, along with a high level of professionalism and discretion. Experience coordinating travel, managing expense reports, and supporting board-level activities is highly desirable.
Preferred Skills:
Proficiency in Outlook, Word, Excel, and PowerPoint is required. Familiarity with SharePoint and OneDrive is a plus.
Job Duties:
- Provide comprehensive administrative support to the CEO, including calendar management, meeting coordination, mail handling, draft correspondence, conducting research, and preparing presentations.
- Coordinate callbacks and prioritize time management to optimize the CEO's availability.
- Track and manage calendar deadlines, ensuring timely completion of tasks and deliverables.
- Maintain accurate and up-to-date contact lists for internal and external stakeholders.
- Prepare executive meeting agendas and take detailed notes as needed.
- Assist in the preparation and distribution of meeting materials.
- Perform backup receptionist duties, including greeting visitors and handling incoming calls.
- Facilitate expense reporting and reimbursement processes.
- Manage professional licenses, certifications, memberships, dues, and subscriptions on behalf of the CEO.
- Arrange domestic and international travel, including accommodations, itineraries, and logistics.
- Support the event planning team in coordinating logistics and executing plans.
- Conduct background research on individuals and organizations engaging with the company
